1. Contact and independence

RoxDesk is an independent software project for gyms running simulations and hybrid fitness events. The contact for the website and privacy enquiries is Lucas Rietsch: lucas@roxdesk.app.

RoxDesk is not affiliated with, endorsed by or sponsored by HYROX. HYROX is a trademark of its respective owner. References to HYROX describe the type of gym simulation the software supports, not an official partnership.

2. Privacy and data use

Browsing the website

The website is hosted by Vercel. Serving and protecting the website involves technical information such as your IP address, requested page, browser information and request time. This release does not include advertising pixels or a visitor analytics script. Google Search Console is used to review search performance; it does not add a tracking script to this website.

Your browser storage

The website saves your light or dark theme preference in local storage. The demo saves sample events, participants, schedules, settings and any uploaded demo logo in your browser. This demo data is not synchronized to a RoxDesk database or shared with other visitors. Use fictional information, not real athlete contact details, health information or confidential gym records.

You can clear this information using your browser’s site-data controls. Website and demo storage belong to separate origins, so clear both if you want to remove everything. Clearing storage also removes your saved demo work.

Booking and contacting us

When you choose “Book a call”, Cal.com loads to let you schedule a meeting. It receives technical information needed to provide its booking service and the information you enter, such as your name, email address and any additional booking answers. If you choose a plan, that plan and billing preference can be included with your booking. Private demo session identifiers are not forwarded to Cal.com.

Booking and email information is used to arrange your call, answer your questions and discuss the service you requested. A booking is not consent to unrelated promotional emails. Cal.com and any connected calendar or meeting services process the information needed to schedule the meeting; email enquiries are handled through the contact email account.

Service providers and cookies

Vercel and Cal.com may process data in countries other than your own. Cal.com may use cookies or similar technologies for its service and security when the scheduler loads. Review Vercel’s privacy notice and Cal.com’s privacy notice for their practices. Fonts and product visuals are served from this website.

Retention and your choices

Contact and booking information should be kept only as long as needed to handle your enquiry, maintain a customer relationship, meet applicable legal requirements or resolve a dispute. Browser-local demo data remains until it is removed through the app or your browser. Provider logs and backups follow those providers’ retention practices.

To request access, correction or deletion of information held in connection with your enquiry, or to raise a privacy concern, email lucas@roxdesk.app. Some records may need to be retained where required by law. Information stored only in your browser must be removed on your device.

3. Website and demo terms

The public demo is provided for evaluating RoxDesk with sample information. It is not a hosted production account, an official race timing system or a substitute for event safety planning. It does not synchronize across devices and should not be relied on to run a real event.

You may explore the demo, edit sample events and upload a logo you have permission to use. Do not use the service to upload unlawful material, attempt unauthorized access, disrupt other systems or submit personal information about athletes.

Demo availability and features can change. Keep independent copies of anything you need: browser storage is not a guaranteed backup. No guarantee of uninterrupted access or error-free timing is made for this evaluation demo. Nothing on this page excludes rights or responsibilities that cannot lawfully be excluded.

Product screenshots show sample data. Gym scene illustrations are concept visuals, not evidence of customer installations or endorsements.

4. Pricing and future subscriptions

The displayed Basic and Premium prices are proposed launch prices in Canadian dollars, before applicable taxes. The annual option shows a monthly equivalent and the total payable for 12 months. Selecting a plan or booking a call does not create a subscription or take a payment.

Before any paid service begins, a separate written agreement will identify the supplier, included service, price, taxes, billing and renewal schedule, cancellation and refund terms, support arrangements and how customer data is handled. This page does not create paid subscription terms or authorize recurring charges.

5. Changes

This page will be updated as the product and its data processing change. Review the date above for the latest version. Material changes affecting a paid service will be addressed through the applicable customer agreement.
